President:
The President shall be responsible for running and creating an agenda for all general body meetings and executive board meetings, with the consultation of the executives as desired. High attendance at executive and general body meetings is required. Duties include facilitating communication among project managers and executives; mediating issues internal to the organization and with external entities; and having oversight over all EWB-UMCP activities to ensure consistency with the EWB-USA mission statement. The President, along with the Secretary and faculty advisor, shall have the authority to sign checks for the organization from our accounts. The President shall be responsible for signing all thank you letters sent by the chapter.
Vice President:
The person holding this position should have an active role in meeting agenda planning, and lead meetings in the absence of the president. Additionally, the VP is responsible for all collection of the paperwork for each of the projects- ensuring that all paperwork is turned in on time and is filled out properly before and after projects.
The VP is also responsible for the checking in and out of the EWB owned tools for each of the projects and coordination of meetings with the project leaders before their departure and after their arrival back in the US.
Treasurer:
“To handle all finances” implies several things:
- Accounts: We will be receiving money from private sources and from inside the University. These have to be treated differently, and the treasurer needs to keep track of them. Also, we might sub-divide donations into specific projects, and the treasurer needs to keep track of that.
- Outlay of funds: The treasurer, along with the president and faculty advisor, shall have the authority to sign checks for the organization from our accounts.
- Fundraising: While fundraising is not the sole focus of this position, the treasurer should maintain at least a semi-active role in the fundraising activities of EWB. Semi-active means that you’ll at least know what is going on.
- SGA Appropriations: The Treasurer, with guidance from the rest of EWB, shall write the SGA budget request for both Primary and Secondary budgetary phases. This is a part of their duties both as financial guru and SGA liaison. They shall also serve EWB’s primary representative at all budget meetings with the SGA.
Secretary:
The Secretary shall be responsible for keeping minutes at general and executive meetings; maintaining email, membership, and attendance databases; and coordinate communication with officers and general body. Additionally the Secretary shall post meeting signs and email meeting reminders. The Secretary has an active role in executive decisions as well as planning coordination for the future of organization. The Secretary may also assist in the SGA Liason position primarily held by the Treasurer and described in detail under that position. The secretary will maintain and annually update the Engineers Without Borders Manual.
Fundraising Chair:
The Fundraising and Events Coordinator (FE Coordinator) is responsible for maintaining a database of professional contacts with information regarding when/if they have been contacted by the organization, by whom, if a donation was made and if so, when, what amount, and was a Thank You letter sent. Additionally the fundraising coordinator helps generate ideas for the chapter and communicates with fundraising representatives from each project group. Regarding events, the FE Coordinator will work with other executives to promote awareness of the chapter such as showings at Alumni night and MD Day. The PE Coordinator shall be responsible for seeing that an Honor Reception is held annually to thank donors. Note: not all events must be planned by the FE, the FE is responsible for ensuring that they happen and encouraging chapter members to get involved in fundraising and event planning.
Public Relations Chair:
The Public Relations chair is in charge of organizing recruiting and chapter involvement on campus – including the First Look Fair, Maryland Day, the EWB Career Fair, and Bands Without Borders. They are also in charge of working with other student groups on campus of similar interest. This may include work with VP and President to create Presentations for professionals and fundraising.
Webmaster:
The Webmaster is responsible for maintaining the “EWB” website and will work with chapter members to post appropriate files. Once a system is developed for online donations, the Webmaster will work with the treasurer as necessary
